The challenge. A small communications team needs a newsletter polished enough to signal that the institution is serious — without days of work per issue. The documented process was a seven-step relay: collect updates, rewrite each one, format, place images, review, export, send.
Why the usual answers failed. Newsletter services mean uploading a child-adjacent community’s subscriber list and content to someone else’s servers. Design tools make pretty pages but don’t draft, manage subscribers, or send. Nothing did all of it inside the school’s own accounts.
What we built. An AI newsletter studio that runs entirely inside your Google Workspace. Rough notes — typed or spoken — become drafted, brand-styled sections. A three-role AI chain (writer, editor, compliance) drafts; a person approves every section; the output is a print-ready PDF and an emailed edition. The vendor never holds subscriber data, content, or credentials — by architecture, not by promise.
The workflow. Brief each section in your own words → review the drafts → approve → generate → test-send to yourself → send. About ten minutes.
Decisions that mattered.
- Distributed by Google’s own “Make a copy.” You own everything from the first click.
- A cost circuit-breaker that asks a human before the first paid AI call.
- A help assistant that only reads the manual — it has no access to your subscriber data.
- Brand theming with a contrast check built in.
Timeline. Thirty-five days from a recorded requirements session to launch-ready — including the landing page, licensing, payments, and a complete cold-account activation test that passed end to end.
