The challenge. The same international medical nonprofit runs programs across multiple countries and currencies. Volunteers spend in the field; receipts arrive — when they arrive — as photos, messages, and paper, in more than one language and calendar system. The treasurer rebuilds the books by hand.

Why the usual answers failed. Mainstream expense tools assume employees, corporate cards, stable connectivity, English receipts, and Gregorian dates. None read Eastern-Arabic or Urdu numerals or Hijri dates, and none offer nonprofit governance — board co-approval, locked periods, functional-class reporting.

The stakes. Charity funds crossing borders under real compliance scrutiny. Trust is the whole asset; a messy ledger puts it at risk.

What we built. An offline-first app where a volunteer photographs a receipt in the field. AI extracts vendor, date, amount, and currency — converting numerals and calendars — with a confidence score per field. The treasurer reviews side by side and approves; large items require a board co-signature; every approved expense archives to the nonprofit’s own Google Drive and appends to its own Google Sheet. Month-end locks the period. Reports export themselves.

Decisions that mattered.

  • Separation of duties in the database, not just the screen: the person who submits can never approve.
  • An audit log the database itself refuses to edit.
  • AI can never auto-approve. Worst case is more manual typing, never a wrong number in the books.
  • Configurable per organization through an admin screen — a new nonprofit needs settings, not code.

Timeline. Three and a half days from requirements to a platform graded GOLD (A+, 96/100) on our own release scale in a real-browser, real-database verification: about 44,000 lines, 70 endpoints, 1,274 tests.

Outcomes. Certification passed; accessibility score 100; complete deployment, operations, and user documentation delivered. The client relationship is active and the demo is scheduled at the client’s convenience. Estimated running cost: $15–35 a month.

What this proves. Regulated workflows at sprint speed. The approval engine, the immutable audit pattern, and the multilingual receipt reader transfer to any organization that answers to donors, boards, or auditors.
